One company that has benefitted hugely from the Rubicon Centre is Documatics, a business process software company currently resident in the centre. “Rubicon is a Catalyst to growth”, says David Boland, Founder & Chief Technical Officer of Documatics, “there is an energy here that drives you forward and makes you believe you can succeed. You feel like you are part of something bigger”.
David Boland attributes the selection criteria as one factor that contributes to the energy in building. He points out that every resident deserves to be there because of their potential, commitment and hard work. Tenants are being backed and supported for success and made feel like they are contributing to the long term competitiveness of the country. “It is hard to give less than 110% in that atmosphere” says Boland.
David Boland developed his software product at night in his kitchen and already had sales when he joined the Genesis programme in 2006. He says that it was invaluable to be able to walk into an own door office with everything a company could need including high speed broadband, staffed reception, meeting rooms and a board room. Documatics have used the facility extensively both to scope products with clients and provide training on the software. Clients are impressed with the building and it adds to the credibility of the company.
BACKGROUND
Documatics provides Business Process Management software. Initially the company focused on the Irish Legal Market with their Case Management Solution “Legal Evolve”. They have built up a client base of 150 Legal Firms using the system. In the last 12 months Documatics has rapidly expanded its operations with offices in Sydney and Los Angeles providing a range of Business Process Solutions to various industries including Accounting, Insurance, Auctioneering & Manufacturing. The company was started while David Boland was still employed as a software developer in Motorola in Cork. Asked to assess case management software for a legal acquaintance, David was struck at the complexity and unsuitability of what was available to the legal profession in Ireland. Working with solicitors, Boland developed a Case Management Software package that was both intuitive and cost effective. When developing the product, he worked a full time job, completed development work at night and used annual leave to perform demonstrations, installations and training. By the end of 2004, Boland successfully sold the then fledgling product to 6 firms. He knew that what he had developed had great potential and he quit his full time job and joined the Genesis Enterprise Programme to cultivate his idea further. When he finished the programme he had 28 customers and 2 employees and had been recognised by Enterprise Ireland as a High Potential Start Up (HPSU).
MARKET BACKGROUND
BPM software is one of the fastest growing segments of the software industry and is expected to grow tenfold in the next five years. The concept of process improvement is not new to industry with Total Quality Management and Business Process Reengineering dating from the 1950’s. Still, improving business process remains a critical executive priority today. For most of the past decade, organisations looked to large packaged applications to streamline, automate and manage processes. It coordinates documentation, correspondence, billing and bookkeeping, schedules and appointments, deadlines, computer files, compliance with document retention policies and court’s electronic filing system.
THE COMPANY
Documatics works with 10 employees in the Rubicon centre servicing over 150 clients in Ireland who have installed its case management software “Legal Evolve”. In recent times Documatics have developed their ‘Evolve Platform’ for the Insurance, Accounting & Property markets in Ireland. Core Product Development is from the head office in the Rubicon Centre in Bishopstown, Cork and which continues to be funded by Irish sales. Documatics have successfully launched their company & solutions in Australia & the US. Using the Australian Enterprise Ireland office, Documatics opened a subsidiary in Australia. The company is also working with a partner in LA, giving access to the US Market and allowing development of the product into a SaaS (software as a service) environment.

Overview of the Legal Evolve Solution “Legal Evolve” is case management software solution that captures and automates workflows within a legal firm. This streamlines the provision of legal services to clients which benefits both the clients and the bottom line. The product has a number of features such as workflow management, digital dictation, diary management, and documents management. Because staff are led through a pre-defined workflow, there is visibility of what needs to be progressed even when critical people are out of the office. Precedent Documents can be generated instantly using the client data in the system. Barristers briefs or Conveyancing booklets, are automatically created saving a huge amount of time & money. All documents can be stored in one location. The scanning feature ensures that every scrap of paper that relates to a matter can be contained in one electronic file. The software also has an integrated digital dictation feature which allows you to record and send directly to a transcriber, all via Legal Evolve. Electronic files can be accessed from anywhere in the world. The software can be integrated with other software solutions including Microsoft Outlook, CRM software for contact management and accounting software for bill tracking.
